Privacy Policy

This policy is issued by HarmonyWFM, the legal entity operating the HarmonyWFM platform at harmonywfm.com. Workspace data is hosted in Canada (AWS ca-central-1). Contact: admin@harmonywfm.com.

For workforce data inside a customer workspace — employee records, punches, schedules, time off, expenses, learning progress — the employer is the controller and HarmonyWFM acts as a processor on the employer's instructions. For our marketing site, sales inquiries, and account administration, we act as the controller.

• Account data: name, work email, job title, role, and workspace membership.
• Workforce data submitted by the employer: employment details, pay-related configuration, time entries, schedules, absence and attendance records, documents, and uploads such as receipts.
• Usage and technical data: log entries, IP address, device and browser information, and error diagnostics used to operate and secure the service.
• Contact data from demo requests, support email, and sales conversations.

To provide and support the platform, authenticate users, enforce tenant separation, calculate the results the employer configures, send transactional email such as approvals and invitations, investigate incidents, prevent abuse, meet legal obligations, and improve reliability. We do not sell personal information and do not use customer workforce data for advertising.

We share data with the service providers listed on our Subprocessors page, and with others only where the customer directs it, where law requires it, or in connection with a corporate transaction with notice to affected customers.

Workforce data is retained for as long as the customer's workspace is active and for the wind-down period described in the Data Processing Addendum. Customer administrators can delete or export records at any time. Backups and logs age out on their own schedules.

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to certain processing. If you are an employee of a HarmonyWFM customer, start with your employer — they control the workspace and we forward such requests to them. Otherwise contact us at admin@harmonywfm.com.

The platform is intended for workplace use and is not directed to children under 16. We do not knowingly collect their information outside of employer-submitted employment records where lawful.
